Purpose:

Project Office Manager required for this Central London creative industry organisation, candidates with prior experience in training / mentoring / coaching Project Managers in a pragmatic best practice project management process/method required. You will be responsible for developing and implementing a Project Office / PMO from scratch, to support a potential portfolio of 45 Projects over the coming year.

Using your excellent interpersonal and communication skills, your role will also include providing project management training through a number of creative and inventive ways. The ideal candidate will have clear and demonstrable experience of setting up PMO’s / P3O’s, preferably in public sector / design oriented environments. Using your demonstrable project and portfolio delivery experience – your success will be measured by the ongoing improvement of the processes / method, accurate and timely reporting at programme / portfolio level and creating a culture of learning for the Project Managers (mentoring and training in the method, processes etc as well as providing informal forums for the PMs in the organisation. Experience in supporting and mentoring project managers / leaders e.g. assisting in planning techniques, reporting mechanisms is crucial.

Skills:

• Develop and implement a strategy for developing and improving the Project Office and project management procedures and processes.
• Ensure that new business development is aligned to the project management procedures and processes.
• Conduct a communication programme to promote project management in all areas of the business.
• Develop and manage a training programme for increasing project managers’ skills (with external input as appropriate).
• Become a trusted project management advisor to the team particularly the Project & Finance Board and Executive Board.
• Manage the annual and ongoing project planning and approval process ensuring that the Project Office works in alliance with the Finance, Resourcing and Corporate functions.
• Establish and maintain the project portfolio and ensure that it is aligned to the organisation’s strategy.
• Maintain a suite of project management procedures and tools and provide guidance and support to managers.
• Ensure that managers comply with project management processes (including approvals, gateway reviews and change requests), working with the Chair of the Project & Finance Board.
• Establish and maintain robust project tracking mechanisms (relating to progress, impact and resources).
• Provide regular and accurate data, analysis and reports to the Project & Finance Board by identifying issues and trends and actively communicating with project managers.
• Oversee project risks and issues management and provide analysis and reports.
• Ensure project lessons and successes are reviewed in collaboration with the Strategic Evaluator.
• Administrate the Project and Finance Board and its meetings and enable decision-making by preparing accurate and up-to-date information.
• Communicate and escalate information or relevant issues to the leadership or project managers.
• Act as a champion for excellence and best practice and promote the Project Office service to the organisation.
• Provide short-term project management and project planning support on specific projects to the extent that Project Office priorities allow.
